These terms apply to everyone who uses figureskatingtools.com. They include the data processing terms under which we process competition data on behalf of the organisation you use the service for (section 10).
How personal data is processed, where it is held and how long it is kept is described in the privacy notice. These terms refer to it rather than repeat it.
1Who provides the service
figureskatingtools.com is provided and maintained by Markus Lintuala (“we”, “us”), a private individual in Finland. It is a volunteer project, not a business, and it is not connected to any company, federation or employer. Contact: markus@lintuala.fi.
2The service
The service is a set of tools for figure skating result services and competition organisers. It includes tools that produce a competition's documents from FS Manager data, tools that run entirely in your browser, tools that process data in memory without storing it, and a live link that receives competition data from FS Manager. It produces a competition's paperwork; it does not publish results.
These terms cover every tool of the service, including tools released after you accepted them, from the day they are released. When a tool processes a new kind of personal data, we update the privacy notice.
We may mark a tool or feature as a preview. A preview may change or be removed at short notice and may be less reliable than the rest of the service, so check its output with extra care.
Figure Skating Manager (FS Manager) is a third-party product. We are not affiliated with its maker, and the live link depends on FS Manager working as documented.
3Accounts and access
- The service is meant for result service operators and the staff of competition organisers. Access is by invitation: we decide who may use it.
- Your account is personal. Do not share your sign-in details or let anyone else use your account. Tell us at once if you suspect that someone else has used it.
- If you use the service on behalf of a club, result service, federation or other organisation, you confirm that you may do so, and that organisation is the Customer under these terms. If you use it for no organisation, you are the Customer yourself.
- You accept these terms when you register, the first time you sign in. If you used the service before the current sign-in was introduced, you register once more through it with the e-mail address you used before, and accept these terms then. When the terms change, we may ask you to accept them again before you continue (section 11).
4Acceptable use
- Use the service and the data in it only to run the competitions you work on, and not for any other purpose.
- Upload or send only the data the competition needs, and only data you are entitled to provide, for example data you have received from the organiser or from FS Manager for that competition.
- Use a podium or team photo only when the people in it have a valid photography consent, which the Customer obtains and keeps. For a minor, consent is given by a parent or guardian.
- Keep the data accurate, and correct or delete it when it is not.
- Do not upload anything unlawful, anything that infringes someone else's rights, or anything harmful such as malware.
- Do not try to get around the sign-in or access controls, reach data you have no access to, or disrupt the service.
- Check what the tools produce before you print, send or publish it. The tools work from the data they are given, and a mistake in the data or in the tools can end up in the documents.
- Share judges' papers download links only with the people who need them: anyone who has a link can download the papers until it expires.
- Keep your account and devices secure: protect your sign-in, lock your devices, keep their software up to date, and sign out on a computer that others use.
5Sharing competitions
The owner of a competition, normally the user who created it, can share it with other users and decide whether each of them may only view it or also edit it. Only the owner and the administrators can change who has access. The owner can take access away, and a user can leave a competition shared with them at any time.
- Share a competition only with people who need it for the competition, and remove their access when they no longer do.
- Everyone with access to a competition sees its data and each other's names and e-mail addresses, as described in the privacy notice, section 2.
- Users a competition is shared with are bound by these terms in the same way as its owner.
6Your content, our rights and open source
You keep all rights to what you upload. You give us only the right to store and process it to provide the service. You are responsible for having the right to use the logos, photos and files you upload.
If a third party makes a claim against us because of content uploaded or shared for the Customer in breach of these terms, for example a photo used without consent or a logo or file the Customer had no right to use, the Customer compensates us for the resulting loss. This covers only such claims, and it does not apply to loss caused by our own intent or gross negligence.
The documents the tools produce from your data are yours. They carry a Figureskatingtools mark, such as a “Created with Figureskatingtools.com” footer or closing page, which you may keep or remove. The Figureskatingtools name, logo and document templates are ours.
The source code of the tools is published on GitHub under the GNU Affero General Public License v3.0 (AGPL-3.0); that licence, not these terms, governs your use of the code. It does not cover the Figureskatingtools name, logo or document templates. These terms govern the hosted service at figureskatingtools.com.
7Fees
The service is currently provided without charge. We may introduce fees later. If we do, we will tell users at least 60 days before a fee applies, and you can stop using the service before then without paying anything.
8Availability, “as is” and liability
The service is provided “as is” and “as available”. We maintain it as well as we reasonably can, but we do not promise that it is always available, free of errors or suitable for a particular purpose. We may change, add or remove features, and we may take the service down for maintenance without notice.
The service is not an archive. Competition data is deleted automatically, as the privacy notice, section 5, describes, so keep your own copies of anything you need later.
The service is currently provided without charge and run by a private individual (section 1 and section 7). For that reason our liability is limited as follows, to the extent the law allows.
We are not liable for indirect or consequential loss, such as lost time or income, the cost of rearranging a competition, a competition that cannot be run as planned, or loss caused by the service being unavailable, by errors in its output or by the deletion of data on the schedule the privacy notice, section 5, describes.
Our total liability to the Customer for direct loss under these terms, in any calendar year, is limited to the greater of 500 euros and the fees the Customer has paid for the service in the 12 months before the event giving rise to the claim. This limit covers every claim between us and the Customer arising from these terms, including recourse claims under Article 82(5) of the GDPR, to the extent mandatory law allows.
These limits do not apply to loss caused by our intent or gross negligence, or where mandatory law does not allow liability to be limited. They do not limit the claims a data subject may have under data protection law, and they do not concern fines or other sanctions imposed by an authority. Nothing in these terms limits a mandatory right a consumer has under the law of their home country.
The Customer's duty to compensate us for third-party claims caused by content uploaded or shared in breach of these terms is set out in section 6.
9Suspension, termination and deleting your account
We may suspend or end your access if you break these terms, if your use puts the service or other people's data at risk, or if you no longer need access. We may also end the whole service; if we do, we will tell users in advance when we reasonably can, so that they have time to download what they need.
You may stop using the service at any time. You can delete your competitions yourself, and you can ask us to delete your account at markus@lintuala.fi. An account that has not been used for 12 months is deleted automatically, unless it still owns a competition whose data has not been deleted. When your access ends, keep the copies your own retention rules require; we delete the data in the service as the privacy notice, section 5, describes.
10Data processing terms
This section is the agreement on processing personal data required by Article 28 of the EU General Data Protection Regulation (GDPR), between the Customer and us. It applies to the competition data described in the privacy notice, section 2. The data about users and the running of the service, for which we are the controller, is described in the privacy notice, section 3.
Roles
The Customer is the controller of the competition data: it decides that the competition is run, what data is exported from FS Manager, who receives judges' papers and what is published. We process competition data on the Customer's behalf as its processor. Microsoft and Mailgun are our sub-processors.
If the Customer is a result service working for an organiser, the organiser is the controller, the Customer is the organiser's processor and we are a sub-processor. You confirm that the organiser has approved the use of this service for its competition.
The Customer's obligations as controller
- Have a lawful basis for processing the competition data in the service.
- Inform skaters, officials and the other people concerned in the Customer's own privacy notice.
- Obtain and keep the photography consents (for a minor, from a parent or guardian).
- Upload only what the competition needs.
- Share competitions and download links only with people the Customer has authorised.
- Answer the requests of data subjects about competition data. We help (see below).
- Make sure its users keep their accounts and devices secure.
Our obligations as processor
- Instructions. We process competition data only on the Customer's documented instructions: these terms, the privacy notice and what the Customer's users do in the tools. If we think an instruction breaks data protection law, we tell the Customer. If EU or Finnish law requires us to process the data in some other way, we tell the Customer before we do, unless that law forbids it.
- Confidentiality. The administrators are bound by confidentiality, and they access competition data only to support the Customer or to keep the service running and secure.
- Security. We protect the data with the measures described in the privacy notice, section 4.
- Sub-processors. The Customer authorises the sub-processors named in the privacy notice, section 4. Their data processing terms bind them to data protection obligations of the same kind as these. We tell users by e-mail at least 30 days before we add or replace a sub-processor. A Customer that objects can stop using the service and delete its competitions before the change takes effect.
- Data subjects' requests. If we receive a request about competition data, we forward it to the Customer without undue delay, and we help the Customer respond, as far as the service allows.
- Breaches and other assistance. We tell the Customer without undue delay after becoming aware of a personal data breach that affects its competition data, and give it the information we have to help it deal with the breach. We also help the Customer with its security, impact assessment and consultation obligations, taking into account what the service is and the information we have.
- End of processing. Competition data is deleted automatically on the competition's deletion date, as the privacy notice, section 5, describes, or earlier when the Customer deletes the competition or asks us to. Download what you need before then. Users' e-mail addresses are removed from the records of every tool at the same time. Only per-competition statistics without personal data remain, and they are kept indefinitely.
- Information and audits. On request, we give the Customer the information needed to show that we meet these obligations. Audits are agreed case by case, carried out remotely where possible and at the Customer's cost.
- Transfers. The service is hosted in the EU. Our sub-processors are US companies that may access data from the United States in limited cases, under the safeguards described in the privacy notice, section 4.
Subject matter, duration, nature and purpose
We store competition data and produce documents from it with the tools (such as judges' papers, the protocol, readable score sheets and redacted versions of a result service's own published result files), send judges' papers by e-mail, make files available for download and let users share a competition with other users. The purpose is to produce the paperwork for the competition at hand. Processing lasts until the competition's data is deleted.
Data subjects and types of data
- Skaters and team members: name, club, nation, category, starting order, placement, scores and withdrawal. FS Manager's participant files also carry gender, nationality, the events and team a participant is registered for and FS Manager's participant codes. Dates of birth are removed from them before they are stored.
- People in podium and team photos: their photo. They may be minors.
- Judges and other competition officials: name and role.
- Recipients of the judges' papers e-mail, including the result service's own address that receives a copy of every message: e-mail address, and the send log.
- People whose name a result service removes from its own published results: name and club as they appear in those results.
The service is not meant for special categories of personal data, such as health data. Do not upload them.
11Changes to these terms
We may change these terms, for example when the service or the law changes. We will tell you about significant changes in advance, in the service or by e-mail, or we may ask you to accept the changed terms again before you continue. If you continue to use the service after a change takes effect, you accept the new terms.
- 23 October 2026: Liability (section 8): the limit is the greater of 500 euros and the fees paid in the previous 12 months, and it also covers recourse claims under the GDPR between us and the Customer; it does not limit data subjects' claims or fines. The Customer's duty to compensate us for third-party claims about its content moved to section 6 and does not cover loss caused by our intent or gross negligence. The source code licence is named: AGPL-3.0.
- 22 October 2026: First version.
12Other terms
- We may transfer the service to another person or organisation that continues it. We will tell users in advance, and you can delete your account and competitions before the transfer takes effect.
- If a provision of these terms is found invalid, the rest of the terms still apply.
- These terms are written in English. Any translation is for convenience, and the English text prevails.
- These terms are governed by the laws of Finland. We hope any disagreement can be settled by talking to us first. Otherwise it is resolved by the District Court of Itä-Uusimaa (Itä-Uudenmaan käräjäoikeus), Finland. If you are a consumer, you may also take the matter to the district court of your own home area, and these terms do not limit any mandatory right you have as a consumer.
